Documentation Tables and records
Search, filter and sort
Find records by a word, keep only the records that meet your conditions, and put them in the order you need.
The toolbar above the grid narrows and orders what you see. None of it changes the records themselves.
Search
Type in the search box at the toolbar's left, which says how many records it looks through, such as Search 2,768 orders. The grid keeps the records that hold your words in any column you can see, whatever their capital letters. Clear the box to see every record again.
Search does not look inside links, lookups or people fields. To find orders by customer, filter on the link instead.
Filter
- Choose Filter, then Add condition.
- Pick a field, a test and a value, for example
Where Status is any of Open, Waiting. - Add more conditions the same way. A record must meet all of them: each new line starts with And.
- Choose Apply. Clear takes every condition away.
The button then reads Filter · Status, so you can see at a glance that rows are left out. The tests on offer depend on the field:
| Field | Tests |
|---|---|
| Text, Email, Phone, URL | is, is not, contains, does not contain, starts with, is empty, is not empty |
| Number, Currency, Percent | is, is not, is more than, is at least, is less than, is at most, is between, is empty, is not empty |
| Date and time | is, is before, is after, is between, is empty, is not empty |
| Checkbox | is checked, is not checked |
| Single select | is, is not, is any of, is none of, is empty, is not empty |
| Multiple select | is any of, is none of, is empty, is not empty |
| Linked record, Lookup, User | is, is not, is empty, is not empty |
On a person field, and on Created by and Updated by, choose Me instead of a name. The condition then reads Current user: each person who opens the table sees their own records, not yours. See Person fields.
Conditions can only all be met together. There is no "or" between conditions in the app; for one field, is any of covers several values. Attachments and JSON fields cannot be filtered.
Sort
- Choose Sort, then pick a field.
- Choose its direction, A → Z or Z → A.
- Choose + Add sort to sort by another field among records that tie on the first.
A column's ⋮ menu sorts by that column alone, in words that fit it: Sort 1 → 9 for numbers and amounts, Sort old → new for dates, Sort A → Z for the rest. Remove sort takes it away. An arrow in the column's header shows the column is sorted.
Multiple select, attachment and JSON fields cannot be sorted.
Your search, filter and sort apply to your screen. To make them what everyone sees on opening the table, see Hide fields and save the layout.
