Documentation Tables and records

Attachments

Attach photos, PDFs and documents to a record, preview them without downloading, and turn a column of web links into stored files.

An Attachment field keeps files with a record: a product's photos, an invoice's PDF, a signed contract. To add one, see Field types. Its settings decide two things:

  • Allow multiple files: off, the field holds one file; on, as many as you add.
  • Allowed file types: Images, Documents and Text Files, as many as you tick. Leave it empty for All file types.

Add and remove files

  1. Click the record's attachment cell, then the paperclip, Attach file.
  2. Pick the file from your computer or phone. It uploads, and the cell shows it.

The paperclip is there while the field can take another file. Each file in the cell has its own × to remove it. To see every file of a cell, choose View all attachments, the expand icon at the cell's right. The gallery that opens, Attachments (3), lets you Add another file, Replace the file of a one-file field, and Remove a file.

Preview a file

Click a file in the cell or in the gallery to preview it, without downloading it first:

FileWhat the preview shows
ImageThe picture, full size.
PDFThe document, with its pages to scroll and zoom, and text you can select.
Word or Excel documentThe document in a viewer. A document you have only just attached can be previewed once the record is saved.
Any other filePreview not available for this file type, with Download File.

Every preview has Download and Close at the top.

Turn web links into stored files

A table imported from a supplier's feed often holds links to photos on someone else's website. When those links stop working, the photos go. Sterodata can download them once and keep them as attachments:

  1. Make sure the column is a URL field. A column imported from a file arrives as Text; change it in Edit field first (see Change a field's type).
  2. Open the column's ⋮ menu and choose Download files to a new column.
  3. Name the new column, or keep the name offered, and choose Download.

The column header shows the progress, such as 120/400. When the download ends, a message says how many files were downloaded and how many could not be fetched. The URL column stays as it was.
