Documentation Tables and records
Export records
Download what the grid shows as a CSV or Excel file, from a table or from a list on a page, and the 50,000-row limit.
An export gives you the records as a file to open in Excel, send to an accountant, or load into another program.
Export from a table
- Open the table and set it up the way the file should be: search, filter, sort, group and hide fields as you need.
- In the toolbar's ⋮, choose Export CSV or Export Excel.
The file is named after the table and holds what you see:
- the records the search and filter leave, from every page, not only the one on screen;
- the columns you can see, in their order;
- the records in your sort order, and when the grid is grouped, each group's records together;
- each value as the grid shows it: a link as the linked record's name, a person as their name.
Fields you may not read are never in the file, and neither are records you may not see. Anyone who can open a table can export it.
Export from a list on a page
A list on a page offers export only when its author allows it: in the list's settings, under Viewers can, tick Export (CSV or Excel). Readers then find Export CSV and Export Excel in the list's ⋮. The file holds what the reader sees in the list, under the page's filters and the reader's own search. See Pages and dashboards.
Limits
A file holds at most 50,000 records, and at most about 6 MB. A wide table can reach the size limit with fewer records. When the table has more, a table's export says so: Exported the first 50000 rows of Orders.csv. Filter the view to export the rest. Filter by date or by status, export each part, and join the files.
An export from a list on a page is cut at the same limits, but it does not say so. Check the number of rows in the file against the list's count.
