Documentation Tables and records

Work with records

Add a record, change it in the grid, open it whole, and delete records, with Undo for a few seconds after.

The grid shows a table's records 100 at a time. The bar under the rows says which ones you are looking at, such as 1–100 of 2,768, and its arrows move between pages.

Add a record

There are two ways, and both stay available:

  • Add record in the toolbar opens a form with every field you can fill in. Fill in what you know and choose Add. This suits a record with several links or people to pick.
  • Add new row, under the last row, adds an empty record straight into the grid for you to type into. This suits entering many records quickly.

If Sterodata refuses the record, the form says why and marks the fields at fault, and what you typed stays.

Fields that Sterodata works out itself are never asked for: calculations, lookups, rollups, and the fields that record who created and changed the record.

Change a record in the grid

Click a cell to change it. Each type of field opens its own editor: a text box, a date picker, a list of choices, a list of records to link to. The change is saved when you press Enter or leave the cell. A cell you cannot change, such as a calculation, does not open.

The grid also works from the keyboard:

  • Shift and the arrow keys, or Shift and a click, select a block of cells. Click a column's header to select the whole column on this page.
  • Ctrl+C (Cmd+C on a Mac) copies the selection; Ctrl+Shift+C copies it with the column names first.
  • Ctrl+V pastes rows from a spreadsheet: see Copy and paste rows.
  • Esc clears the selection.

In a window narrower than 800 pixels, such as a phone's, cells do not open for typing. Tap a row to open its record instead, and use the add button to fill in a new one.

Open a record

A record opens whole, with every field stacked one under the other, so you do not have to scroll across the grid. Click a value to change it; each change is saved on its own. On a computer the record opens over the grid; on a phone it takes the whole screen.

You open a record by tapping its row on a phone or a narrow window, or by clicking a card when the table is laid out as cards or a list: choose Design in the toolbar's ⋮, and set Layout to Cards or List.

In the grid on a computer there is no button that opens a whole record. Change the layout, or narrow the window, to open one.

Delete records

  1. Tick the records in the column at the left of the grid.
  2. In the toolbar's ⋮, choose Delete selected.

The records go at once, without a question. A message such as 3 rows deleted stays for 12 seconds with Undo, which puts them back as they were.

After the message has gone, the app offers no way to get deleted records back. The trash holds deleted tables and fields, not records.

A table that an integration fills, and a table of a connected database, do not take new or deleted records here: those come from their source.
