Group records and read the totals

Group the grid by a field, by part of a date or by a field of a linked record, and read the totals Sterodata adds up under each column.

Grouping gathers the records that share a value under one heading, such as every order of the same customer or every invoice of the same month, each with its count and totals. For a grouped table you keep and share, with periods across the top, make a summary instead: see Views and summaries.

Group the grid

  1. Choose Group in the toolbar.
  2. Pick a field. A field with a › beside it opens a second list of ways to group by it.
  3. To group within each group, choose + Add subgroup and pick another field.
  4. Click outside the panel. The grid regroups when the panel closes.

Each level has its own direction: A → Z or Z → A, and Old → new or New → old for dates. The × beside a level removes it. The button then reads Group · Customer. Each group's heading shows its value and how many records it holds; records with no value are gathered under (blank).

By part of a date

A date field opens these choices:

  • itself: one group per exact date, or per moment for a field that shows the time;
  • Year · Month: one group per month, such as March 2026;
  • Year: one group per year;
  • Month, any year: every March together, whatever the year;
  • Day: per calendar date for a field that shows the time, or per day of the month for a date without time.

For a field that shows the time, days, months and years are cut at midnight UTC, not at midnight where you are. A record dated 1 March at 01:00, Bucharest time, is grouped under 28 February, and so under February.

By a field of a linked record

A link opens the record itself, Customer · itself, and each field the link shows, such as Country. Group orders by Customer › Country to read sales per country without a country field on the orders. Only the fields the link is set to show are offered: add one to the link's Display columns to group by it (see Links between tables).

An amount in several currencies also offers Currency, one group per currency.

Calculations, rollups, multiple select fields, attachments and JSON fields cannot be grouped by.

Totals

A row of totals sits under the last record, labelled Totals, and every group's heading carries the same figures for its own records:

  • under a number, currency or percent column, and a rollup that adds up amounts: Sum, the total of the values;
  • under any other column: Count, how many records have a value in it.

Totals cover every record the search and filter leave, on every page, not only the 100 on screen. They cover the columns you can see. Hover a total to read it in full when its column is narrow.

A total of amounts in several currencies is converted into the field's own currency at today's rate. When a row has no rate yet, the total is marked and says what it leaves out. See Calculations for how amounts convert.
