Documentation Workspace settings

Guest access, self-join and assistants

Decide whether people who are not signed in can open what you share, whether anyone with an account may join, and which members' assistants are connected.

Three things decide who can come into the workspace at all, before any table's Share sheet is asked. They are in Settings, General, on the Access pane.

Allow public (unauthenticated) access

The switch for everyone who is not signed in as a member. It is on in a new workspace.

  • On: people who are not signed in can open whatever has been shared with them: share links, pages and forms published to the public or a private link, and anything shared with the Guest role.
  • Off: anyone who is not signed in as a member is refused, whatever has been shared. That includes people signed in to Sterodata who are not members of this workspace.

When you flip it, Sterodata first shows what it affects, such as the number of live share links and of things guests can read, and you confirm with Turn off or Turn on. Nothing is deleted when it is off: switch it back on and the links and pages open again. More in Guests without an account.

Allow self-join

Off in a new workspace, so people join only by invitation. On, anyone with a Sterodata account who opens the workspace's join address, app.sterodata.com/your-key/join, can choose Join workspace and become a member.

They join with the User role and see what regular members see. You are not asked to approve each one. Turning it off again closes the way in; nobody already in the workspace loses access. The switch asks you to confirm either way.

Connected assistants

Below the switches, Connected assistants lists every assistant a member of the workspace has connected, such as ChatGPT or Claude, with who connected it and when it was last used.

Each one acts as the member who connected it, in every workspace they belong to. Choose Disconnect to end one: it stops at once, until that member connects it again. Disconnecting is recorded with who did it.

Members see and disconnect their own assistants from their account (see Your connected assistants). How to connect one: Assistants.
