Publish a form
Choose who can fill a form in, check what one send writes, and see the form as someone without an account gets it.
A form is published like any page, from the same Publish sheet: see Publish a page for the address, the private link, pausing and publishing changes. This page covers what is particular to a form.
Publish
- In the builder, choose Publish, or choose Publish… from the menu under the form's title.
- Read the summary. Writes says what one send adds, every table together. Then shows quotes the first sentence of your message, and says when the lines and the total follow it. Protected says how the form is guarded, such as "Spam check on · at most 20 orders an hour from one address, 200 in all"; Change opens the setting. Language and Privacy notice come from Settings. A Search line warns about each list of linked records that offers a whole table.
- Under Who can fill it in, choose Public, Anyone with the private link or Workspace members (all, or only the roles and people you pick).
- Optionally turn on Stops working on a date. On a form, this is the form's closing date, the same as Closes in the builder.
- Choose Publish.
Try it as a customer, in the sheet or the form's menu, shows the form as a person filling it in gets it, with only what they may see. Sending from it writes nothing.
Until a form is published, only its editors can open it, and what they send is real: it is written to your tables, and Responses marks it "Sent before publishing".
What someone without an account sees
A person who opens a Public form, or a private link, needs no account and does not sign in. They see:
- Your logo and name over the form's title and description, in your colour. See Your brand on shared pages.
- The questions, in the workspace's language. A list of linked records shows only the records its Only allows, with only the fields under Customers see.
- The Send button at the foot, with how many lines are on the form and the total.
- Under Send, "How we use your answers", linking your privacy notice, when Settings has one.
They cannot see your tables, other people's responses, or anything the form does not show. A customer found by their tax ID is linked without being told the customer exists. While they fill it in, their answers are kept on the device they use, so after a lost connection or a closed tab they carry on where they were. Nothing reaches you until they press Send.
After sending, they see your message and what they sent. Depending on your settings, they can also copy the link to change it, see where their copy was e-mailed, or open the next form. See After it is sent.
In Responses, their sends show "Public link" as who sent them.
When it cannot be sent
- Closed: after its closing date, the form is replaced by one screen saying it is closed, with your line from What they read when it is closed.
- Busy: when the form has taken as many answers this hour as it allows, the same screen says so and how long to wait.
- Paused: after Unpublish, whoever opens it is told it is paused.
When the workspace has a phone number in Settings, these screens offer to call you or message you on WhatsApp.
Public forms, and private links opened by someone who is not signed in, need guest access on for the workspace: Settings, Access, Allow public (unauthenticated) access. With it off, Publish refuses a Public form.
