Publish a page
Choose who can open a page (the public, a private link, or members), its address, a date it stops, and how to pause it or publish changes.
Everything you change on a page is a draft. Publishing makes the draft what people see, and it is the one place that decides who can open the page. Until a page is published, only its editors can open it.
Publish
- In the editor, choose Publish, or choose Publish… from the menu under the page's title.
- The first time, the sheet says what the page sends: Shows (each element), Buttons (and who sees each), Never sends (the fields no element shows, and every other table), Data (live, read as each reader opens it), Language and Privacy notice, both from Settings.
- Under Who can open it, choose one audience (below).
- Optionally turn on Stops working on a date and choose the day.
- Check Goes with it. Preview as a customer shows the page as someone outside the team gets it. Then choose Publish.
Who can open it
| Audience | Who gets in |
|---|---|
| Public | Anyone, with no account and no key, at the page's address. The address is short, so it can be guessed or found. |
| Anyone with the private link | Anyone holding the link, which carries a long key. Unlisted: only the people you send it to. |
| Workspace members | Members who sign in: All members, or Only these roles and people. Add them by searching, or paste a list of e-mail addresses. Only people who are already members can be picked; publishing never invites anyone. Members are added in Settings. |
Members also find a page published to them in their own Pages list. Only someone allowed to share the page can change who can open it, and only they are shown the private link's key. See Access for that permission.
Public pages, and private links opened by someone who is not signed in, need guest access on for the workspace: Settings, Access, Allow public (unauthenticated) access. With it off, Publish refuses a Public page and everyone without an account is asked to sign in. See Settings.
What readers can reach
A published page reads its tables through its own access, given when it is published, so readers need no access to the tables. They receive only the fields the page's elements show. To publish, you must be allowed to read every table and field the page shows, and to share every page its buttons open; otherwise Publish says which one stops it. The page's access stays if you later leave the workspace, and changes only when it is published again.
A page reading a table that a connector syncs says at its end when that data last updated, such as "Updated 12 minutes ago".
Pages that go with it
A header button, a footer link or button can open another page or a form. That page opens for everyone who can open this one, so Goes with it lists it, ticked, when it is not published yet or has changes waiting. Publishing then puts both out in one step, so a customer never lands on a form that is not live. A page going out for the first time this way opens for the same people.
The address and the private link
A page's address is your workspace's address followed by a short form of the page's name, such as app.sterodata.com/green-valley/price-list. It is made once, when the page is created, and never changes: renaming the page leaves it as it was, so printed QR codes keep working. A private link is the same address followed by ?key= and a long key.
Once published, the sheet shows the link with Copy link, and how often it was opened and when last. If a private link reaches the wrong people, open the ⋮ beside it and choose Reset link: the old link stops working at once, and a new one is made and copied. Choosing another audience and publishing also ends the private link.
Changing your workspace's address, in Settings, changes the address of every page in it, and the old addresses stop working. See Settings.
A date it stops
Stops working on a date works for any audience: an October price list can stop at the end of October. The page stops at the end of the day you choose. After it, whoever opens it is told the link ended and on what date, and to ask your workspace for the current one. To open it again, pick a later date or turn the date off, and publish.
Changes, discarding and pausing
After the first publish, your edits wait as a draft and the page shows Changes not published. The Publish sheet lists what was added, changed or removed, and its button reads, for example, Publish 3 changes. Discard changes puts the draft back to the published version.
Unpublish pauses the page: anyone opening it sees "This page is paused". Your draft, the link and the audience are kept, and Publish again brings back the same link, so bookmarks and printed QR codes keep working.
When the workspace has a phone number in Settings, the ended and paused screens offer readers a way to call you or message you on WhatsApp.
