Responses

See everything a form received in one grid, open a response with its lines, correct it, or delete it.

Every response is records in your tables, so you can always find them in the tables themselves. Responses puts the ones a form wrote in one place, in the same grid you use for any table, for the people who edit the form.

Open Responses

Open the form under Pages and choose Responses from the menu under its title; the menu shows how many there are. The note a form e-mails your team links straight here, after you sign in.

The grid shows the form's own table, such as Orders, limited to the records this form wrote, newest first. It opens on these columns:

  • Sent: when it came.
  • Sent by: the member who sent it, "You", or "Public link" for someone from outside the workspace.
  • The form's questions, under the labels the form gives them.
  • Fields the form sets, such as a Status or a "Check customer" mark.

The table's other fields are a Hide Fields away.

Find and sort

The toolbar is the grid's: search ("Search 1,248 responses"), Filter, sort, Group, Hide Fields, and the ⋮ menu, which downloads what the grid shows as CSV or Excel. Chips above the grid count the responses by a field, usually the Status: "New 3 · Sent 18 · Accepted 1,182". Responses sent before the form was published carry the tag "Sent before publishing", and Filter can find them.

Open, correct or delete a response

Click a row to open the response in a panel at the right, with the grid still in view. It shows the response's fields, what the person typed for an answer the form found by a tax ID ("Typed: …"), and the records that link to it, such as the order's lines.

  • Edit with the form opens the response in its form, filled in, for you to correct a quantity or an address. Nothing changes until you choose Save changes.
  • Delete removes the response with its lines. To delete several, select their rows and choose Delete selected.

Who can see Responses

Only the form's editors. The grid reads as you, with your own permissions: you see the fields you may read, and nothing more. An editor who may not read the form's table sees one line instead of the grid, saying how many responses it holds and when the last came, and that a workspace admin can give access. See Access.

On a phone, each response is a row with its main answer, its Status and when it was sent, and opening one fills the screen.
