Product catalogue and offers

The Product catalogue and offers app: a photo catalogue, a price list customers order from, an order form that finds or adds the client, and the offers behind them.

The Product catalogue and offers app, version 3.0.0, is for a seller who sends customers a price list and takes their orders. Customers open the price list by its link, without an account, and order from it; each order arrives as an offer, with every line's price fixed when it was sent. It opens on its Price list page. The worked example is How to let customers order from your price list.

What it installs

Offers	Table	Number, Client (a Linked record to Clients), Deliver On, Date, Valid Until, Notes, Check customer (a Checkbox) and Status: New, Draft, Sent, Accepted or Rejected. A new offer starts as New.
Lines	Table	Offer and Product (Linked records), Quantity, Unit Price (in lei), Discount (0% unless you set one) and Line Total, worked out as Quantity times Unit Price, less the discount. Shown as a List.
Catalogue	View	The products with In Stock above 0, by name, shown as Cards with their photo, SKU, category, price and unit.
Totals by Offer	Summary	Per offer: Offer Total, the sum of its Line Totals, and Items, the sum of its quantities, the largest first.
Price list	Page	The products in stock as photo cards, grouped by category, for your customers.
Place an order	Form	The order form the price list opens.

Both the page and the form are made as drafts. It makes no roles.

The price list

The page is headed Price list, prices without VAT, with a Place an order button that opens the form. The products in stock are photo cards grouped by category, with a search by name or SKU, filters by category and unit, and sorting by name or price. Its footer, Deliveries, is sample wording: change it to your own terms. Prices come from Products, so the list changes as soon as a price does.

The order form

Company: the customer types their tax ID (CUI), and their company name and e-mail. If a client in Clients has that tax ID, the order is linked to them and the client is not changed. If none has, a new client is added. The form answers the same either way, so it never tells anyone who your clients are.
Deliver on: the delivery date, required.
Items: at least one product, picked from those in stock with their photo, unit and price; a Quantity from 1 to 10,000; the Price, from Products and not changeable; and the Amount, worked out.
Anything else?: notes.

After Send order, the customer reads Order received. We confirm it within two working hours. Change that and the form's other wording in its editor (see Forms).

Each order arrives as a new offer, Status New, with its client, delivery date and notes, and a line per product with the price copied when the order was sent. A later price change does not move it. The form leaves Number, Date and Valid Until empty for you.

Check customer is ticked when the tax ID matched a client you already have and the sender was not signed in as a member, since anyone can type a known tax ID, or when several clients share that tax ID. Look before the goods ship.
After sending, the customer can change the order with Change this response for as long as its Status is New. Once you set it to Draft, Sent, Accepted or Rejected, it can no longer be changed.
The form takes at most 20 orders an hour from any one connection.

The tax ID is checked as a Romanian CUI: an RO prefix and spaces are dropped, and the check digit must be right. A customer with another country's tax number cannot send the form. Prices are in lei.

Languages

The page and the form come in English and Romanian. A workspace whose document language is Romanian gets them in Romanian; any other gets English, and can switch before installing (see Browse and install an app). Their names stay Price list and Place an order, and the tables and fields keep English names.

Sample rows

Include sample rows writes 12 building-material products with pictures, 3 clients, and 3 offers with 12 lines, in Romanian.

Use it

Put in your products: type them, or import a file into Products (see Tables). For a picture, put its address in Photo.
Change the Category and Unit choices to yours.
Clear the sample rows once your own are in (see Change an app after installing it).
Open Price list in Pages and publish it to the public or to anyone with a private link. The Publish sheet lists Place an order under Goes with it, to publish together. See Pages.
Send the link. As orders arrive, look at Check customer, fill in Number and Date, and move each offer through its statuses. Totals by Offer adds them up.
