CRM

The CRM app: the companies you sell to, the people at them, the deals in progress and the calls and meetings against them, with a live pipeline and a weighted forecast.

The CRM app, version 2.0.0, keeps the companies you sell to, the people at them, the deals in progress, and the calls, emails and meetings against both. Each deal carries an amount and a probability, and its weighted amount is the two multiplied, so the forecast is the pipeline discounted by how likely each deal is. It opens on Opportunities.

What it installs

NameKindWhat it holds
AccountsTableEach company: Name, Industry, City, Website, Phone, Owner (a User field: a member of your workspace) and Notes.
ContactsTableThe people at an account: Name, Account (a Linked record to Accounts), Role, Email and Phone.
OpportunitiesTableEach deal: Name, Account, Primary Contact (a Linked record to Contacts), Stage, Amount (in EUR), Probability, Expected Close, Source and Owner. Weighted Amount is worked out as Amount multiplied by Probability.
ActivitiesTableCalls, emails, meetings and notes: Subject, Type, Date, Account, Opportunity, Owner, Done (a Checkbox) and Notes.
Live PipelineViewThe open deals: those with a Probability above 0% and below 100%, the soonest Expected Close first. Shown as a List, with each deal's account, stage, close date, probability and amount.
Forecast by StageSummaryPer Stage: Pipeline, the sum of Amount, and Forecast, the sum of Weighted Amount, the largest forecast first. A note under it says what each column means.

It makes no pages, no forms and no roles.

Sample rows

With Include sample rows on, it writes 8 accounts, 10 contacts, 8 deals and 8 activities, for Romanian construction and property firms. The deals run through five stages, each with its probability: Qualification (25%), Proposal (50%), Negotiation (75%), Closed Won (100%) and Closed Lost (0%).

Use it

  1. Add your companies to Accounts, then the people at them to Contacts, choosing each one's Account.
  2. Add each deal to Opportunities with its Account, Primary Contact, Stage, Amount, Probability and Expected Close.
  3. As a deal moves, change its Stage and its Probability together. When you win it, set Probability to 100%; when you lose it, 0%. It leaves Live Pipeline either way.
  4. Log calls, emails and meetings in Activities, against the account and the deal, and tick Done when they are.
  5. Read Forecast by Stage for what is in each stage, and what you can expect to close.

Stage is a plain text field, and it is Probability, not Stage, that puts a deal in Live Pipeline or takes it out. A deal typed as Closed Won at 75% still shows as open. Type each stage the same way every time: Forecast by Stage counts two spellings as two stages.

The app has no pipeline board, no calendar, no duplicate checking and no territories. It sets up no roles, so it does not limit a salesperson to their own accounts or deals; to do that, see Access.

Everything here is yours to change: see Change an app after installing it.
