Share links
Send a table, view or page to people without an account through a link, set the day it stops working, see how often it was opened, limit its columns, and revoke it.
A share link opens one table, view or page for whoever holds it, with no account and no sign-in. Use one for a price list sent to a customer, a report for your accountant or a page for tenants. Tables and views get their links from the Share sheet; pages and forms from Publish.
Make a link to a table or view
- Open its Share sheet (Share in the toolbar's ⋮ menu) and choose Add access.
- Choose Anyone with link.
- Pick Viewer to let them read, or Editor to let them also add, edit and delete records. Owner is not offered for a link.
- Check the column picker below. It reads Recipients see every column, or how many columns it sends. A new link starts with only the columns showing on your screen, so a field you have hidden, and the Created by and Updated by fields, are not sent until you tick them.
- Choose Create link.
The link appears on the sheet as Anyone with the link, with its address and a copy button. Changes made through an Editor link are recorded under a generated name (see Guests without an account).
Set the day it stops working
A new link has No expiry. Choose that label on the link and pick Expires in 7 days, Expires in 30 days or Expires in 90 days. The label then reads Until and the date, and Expired once the date has passed; an expired link no longer opens. Choose No expiry to take the end date off.
See how often it was opened
Under each link's address the sheet says Nobody has opened it yet, or how many times it was opened and when last, such as Opened 4 times · last 12/10/2026.
Limit its columns
Open the column picker under the link and untick what the holder should not see. The picker then reads, for example, Recipients see 3 of 8 columns. A column added to the table later is not sent on this link until it is ticked here.
Revoke a link
Choose Revoke link and confirm. Whoever holds it can no longer open it. A revoked link cannot be brought back; make a new one if you need to.
Links to pages and forms
A page or form is published rather than shared. In Publish, choose Anyone with the private link: it is unlisted, so only people you send it to have it. Turn on Stops working on a date to give it an end date, and use Reset link (in the ⋮ beside the link) to end the current link and make a new one. Publish also says how many times the page has been opened. More in Pages and Forms.
Someone who opens a page's link sees what the page shows. They cannot open the tables behind it, and a form's link lets them send only what the form asks for.
Links work only while guest access is on. If Allow public (unauthenticated) access is switched off in Settings, no link opens for anyone who is not a signed-in member (see Guest access, self-join and assistants).
