Documentation Access and permissions

Share a table or view

Give a person or a role Viewer, Editor or Owner on a table or view from its Share sheet, and read back who has access to it.

Every table and view has a Share sheet. It lists everyone who has been given access to it, and it is where you give more. Views have their own sheet, so you can give a role a view without giving it the table behind it (see Show each person only their own rows).

Open the Share sheet

Open the table or view, then choose Share in the toolbar's ⋮ menu, or open the menu on its title and choose Share view. The sheet is titled with the table's name.

You see Share only if you may share that table. A Super Admin may share everything.

Give access

  1. Choose Add access.
  2. Choose User for one person or Role for a group.
  3. Pick them from Select a user... or Select a role.... Anyone who already has access is not offered again.
  4. Pick the level, then choose Add.

The third choice, Anyone with link, makes a link instead: see Share links.

What each level allows

LevelWhat they can do
ViewerCan view records.
EditorCan view, add, edit, and delete records.
OwnerFull access, including schema changes: also change the table's fields and settings, and delete it.

Owner does not include sharing. Someone with Owner on a table does not see its Share sheet; a Super Admin decides who else gets access.

On a view, the view's own Changes allowed is the ceiling. An Editor of a view can add, edit or delete records only as far as the view allows, and a read-only view stays read-only for everyone (see Views).

People or roles

Give a role when several people need the same access: everyone who has the role gets it, including people who join later. Give a person when the access is theirs alone. Two roles are always there:

  • User is every member. Share with User to give something to the whole team.
  • Guest is everyone, including people who are not signed in. Sharing with Guest makes the table open to anyone who has its address. See Guests without an account.

Read it back

The sheet lists each person, with their email, and each role, with a badge for its level. Links show as Anyone with the link. A badge reading Custom means a combination of rights outside the three levels, given outside this sheet, for example by an installed app; point at it to see what it holds. When nothing has been shared, the sheet says No access yet.

Under a Viewer's row, a button says how many fields they see. Use it to limit the fields: Limit the fields a role or person sees.

Change or remove access

To take access away, choose Remove access (the ×) on the row. It ends at once.

A level cannot be changed in place. To move someone from Viewer to Editor, remove their row, then add them again at the new level.

For a worked setup with roles, views and links, read How to give each person access to only what they need.
