Members and roles

Invite people with the roles they need, follow an invitation until it is accepted, change a member's roles or remove them, and create the roles your team works in.

Members and roles are kept in Settings, under Users. You see it if your role lets you manage users; a Super Admin always can. It has three panes: Members, Pending and Roles.

Invite someone

  1. Open Settings, choose Users, then Members.
  2. Choose Invite user.
  3. Type their Email and tick the Roles they should have.
  4. Choose Send invitation.

Sterodata emails them a link to accept. The dialog also shows the same one-time link, so you can send it yourself. If the email could not be sent, the dialog is titled Invitation created instead of Invitation sent and says so: copy the link and pass it on.

The invitation then waits in Pending, with the roles it gives and when it expires. An invitation lasts 14 days. Revoke cancels it. One that has expired moves under Expired, where Resend invitation makes a new link and the old one stops working.

Only a Super Admin can invite someone as Super Admin. Guest is never given by an invitation.

What the person sees when they open the link: Accept an invitation.

Change a member's roles

  1. Open Settings, Users, Members. Each member shows their name, email and roles.
  2. Choose Manage beside the person.
  3. Tick or untick roles, then choose Save.

The User role stays on every member and cannot be taken away.

Remove a member

  1. Choose Manage beside the person.
  2. Choose Remove from workspace, then Confirm remove.

They keep their Sterodata account but lose all access to this workspace until they are invited again. You cannot remove yourself. The workspace's only Super Admin cannot be removed or lose that role: give it to another member first.

Create and delete roles

A role is a name for a group of people, such as Finance, Operations or Support. Give a role access once, and everyone who has it, now or later, gets that access.

  1. Open Settings, Users, Roles.
  2. Choose Create role.
  3. Give it a Name and, if you like, a Description (optional), then choose Create.

A new role starts with no permissions. Give it access on the Share sheet of each table or view it needs (see Share a table or view).

To delete a role, choose Delete beside it, then Delete role. Everyone who had the role loses it, and everything shared with the role is taken back. This cannot be undone.

A role cannot be renamed in the app. To change a name, create the new role, give it the same access and members, then delete the old one.

System roles

Every workspace has three roles that Sterodata keeps. They are marked system in Roles and cannot be deleted.

RoleWho has itWhat it gives
Super AdminWhoever created the workspace, and anyone a Super Admin makes one.Every right on everything in the workspace.
UserEvery member, from the moment they join.Whatever you share with User. It is the way to give something to all members at once.
GuestEveryone, signed in or not, members included. It cannot be given to a person.Whatever you share with Guest: what anyone may open without an account (see Guests).
