Add rows on a schedule

A table adds a row for each record of a table it links, every month or on each record's own day: a rent invoice for each active tenancy, never twice for one month.

Add rows on a schedule makes a table add its own rows: each month on the 1st, an Invoice for each active Tenancy. Open it from the table's ⋮ menu. Saving makes an automation, listed under Automations, and its Edit schedule opens the same sheet again.

When

Under Repeat, pick every day, week, month, quarter or year, and the day. A run pressed by hand late in the month adds that month's rows, dated the day they were due.

Or pick each Tenancy's own day and a date of the tenancy, its Start date: a tenancy that started on the 12th is due on the 12th of each month. The 31st falls on a short month's last day. Fill a date with That Tenancy's day: it is the day each row is for. The schedule then looks every day, and after it was stopped, it adds what the days since its last good run owed, once each.

For which records

One row for each lists the table's links: an Invoice links a Tenancy, so it can be made for each tenancy. Only takes the same conditions as the table's filter, to keep the active ones; the link beside it opens the records they keep.

What each new row holds

Each new Invoice lists the fields a new row is given. Its link is filled with the record it is for. A date can take the day it is due, named after the Repeat line: The 1st of the month. A text field can take the record's name and the period, T-Ana 2026-10. Any other field takes a field of the record, its Monthly rent, or a value you type, Rent. On a wide screen the sheet shows, beside each, what it would write for one record. A field not listed takes its default value, if it has one.

Never twice

A record gets no new row when the table already has one for it with the same typed values and a date, the one that takes the day it is due, in the same period. With no date taking that day, a row counts when it was added since that day. What a row copies from its record, an amount or a name, is not compared.

The sentence beside Save says it for your sheet: Adds an Invoice for each Tenancy that has no Invoice with Type Rent and a Billing Month in that month yet; Amount, copied from the Tenancy, is not compared. After a run, its line names who already had theirs: 0 added to Invoices; Victor Cupcea and Abraham Ilie already have one with Type Rent for November 2026. So pressing Run again, or a retry, adds only what is missing.

Taking in what was used

When the table adds up another one, an Invoice totalling the Services it bills, Takes in offers that table. Each new invoice then takes the services its tenancy has that are on no invoice yet, dated up to the invoice's date, and links them to itself, so none is billed twice. A service saved without a date goes on the next invoice. Tick Skip a Tenancy with nothing to take in to add no invoice for a tenancy with none.
