Views of one table
Make a view of one table that keeps some of its rows and fields in your order, decide what can be changed through it, and add formulas of its own.
A view of one table answers a question you ask often: open orders, invoices more than 30 days late, products out of stock. It keeps the rows that match its filter and the fields you choose, sorted the way you want, and it follows the table: when a record changes, the view shows the change the next time it is read.
Make a view
- In the sidebar, choose the database's New menu, then Dynamic table.
- Under Tables, pick the one table the view reads. Picking two or more makes a stack instead: see Stacking tables into one view.
- Give the view a Name and choose Create. It opens showing the table's rows.
- Choose the view's title at the top of the grid, then Edit Dynamic Table definition, and set it up as below.
- Choose Save.
A filter, sort or hidden field you set in a table's own grid stays a way of looking at that table: it does not make a view. Set them in the view's definition.
What the definition holds
| Setting | What it does |
|---|---|
| Changes allowed | What can be done through the view: Insert, Update and Delete, or none of them for a read-only view. This is the most anyone can do through it; a person's or a role's access can only narrow it. |
| Included fields | Choose Configure fields, then a field: Visible shows it, Editable lets it be changed (when updates are allowed), and Default value on insert fills it on new rows (when inserts are allowed). A field that is hidden or not editable but must have a value needs a default; the list warns when one is missing. |
| Source records | The filter: choose Add a filter and add conditions on the table's fields. Only rows that match are in the view. |
| Keep rows inside the filter | Shown when inserts or updates are allowed. On, an insert or an edit that would fall outside the filter is refused. Off, new rows are filled in to match the filter, and an edit can move a row out of the view; it stays in the table. |
| Default order | Choose Add sorting and the fields the rows are sorted by, each up or down. |
A filter value can be the person reading, so one view shows each person their own rows: see Views that show each person their own records.
Working in a view
- Records added, changed or deleted through the view are added, changed or deleted in its table, within what Changes allowed permits.
- To add a formula to the view, choose + (Add Field) at the end of the headers. A view offers only Calculation, because it keeps no values of its own. Its formulas are edited from their header with Edit field, as a table's are; see Formulas.
- A field the view shows from its table can only be renamed in the view, with Rename field. Its type is set in the table.
- To add another table's rows, choose the title, then Combine with another table. This makes a new stacked view with this view's table already picked.
The "Behind on rent" view in How to build a rental management system is a view of one table: when a payment comes in, that invoice leaves it.
