How to build a rental management system with your AI assistant

Animated walkthrough of the build. The tables and tools are the real ones.

In October I connected ChatGPT to a Sterodata workspace through our MCP server and asked it to set up the system a rental business runs on. Here is that build as steps you can follow with your own buildings.

Step 1. Connect your assistant

Add https://api.sterodata.com/mcp as a custom connector in ChatGPT or Claude and sign in. The full steps are in How to connect ChatGPT or Claude to your business data.

Step 2. Describe the business

We rent out 14 apartments in four buildings. Set up tenancies, monthly rent invoices and payments, and a way for tenants to report repairs.

The assistant reads the workspace first, then creates the tables and links them.

Step 3. Check what it made

Open the app. You should find Units, Tenancies, Invoices, Payments and Requests, linked to each other: a tenancy points at its unit, an invoice at its tenancy, a payment at its invoice. Rename anything, add a field, change a status list. It is all editable by clicking.

Step 4. Import your tenants

Attach your tenant list to the conversation, or import it in the app (xlsx, csv or tsv). Ask the assistant to link each tenancy to its unit as it imports.

Step 5. Publish a repair form

Make a public form where a tenant picks their apartment, says what is wrong and how urgent it is, and it lands in Requests.

The assistant creates the page and publishes it, and gives you the link. Send it to your tenants. They need no account.

Step 6. Keep the questions you ask every week

Who is more than 30 days behind on rent? Keep that as a view the team can open.

The view stays current: when a payment comes in, that invoice leaves it.

Step 7. Decide who sees what

Tenants reach only the form. Your team gets the views it works from. You keep everything else. Check each table’s Share sheet to confirm it.

What my build made

ChatGPT made Tenancies, Invoices, Payments, Adjustments and Requests, with relations and status fields. It also made two tenant pages, two request forms and an admin page for the people who run the buildings. The build also showed us where our tool descriptions were unclear to a model, and those went straight into our backlog.

Sterodata is where a business keeps its records, orders and numbers, and sees who can reach each one and who changed it. Build it with your assistant, from a ready-made app, or by clicking.
